As the world’s leading end-to-end virtual event platform, the Australian Sonographers Association engaged Arinex Live to deliver their Annual International Conference, one of the largest international gatherings of sonographers in the southern hemisphere. 

For the first time, this key event on the sonography calendar was a hybrid conference broadcast from the Brisbane Convention and Exhibition Centre in 2021. This was a large-scale conference held across three days, in nine rooms, with more than 1,500 delegates in attendance, 950 of whom were virtual attendees.

The Approach.

 

Arinex Live's expertise in delivering hybrid events has made us a go-to choice for clients seeking innovative solutions. ASA quickly recognized Arinex Live's expertise in managing in-room delivery and live streaming. The result was an outstanding hybrid event experience that highlighted our ability to adapt to the unique needs of our clients.

1. Conference App.

Delegate Connect's event app was customised to the look and feel of the theme for the conference. Attendees could easily navigate the event and access all event information including; Agenda, Session Surveys, Floor Plan, Lead Capture, Networking and ePosters all from their mobile devices. Attendees received real-time updates on the conference schedule, speaker information, and session details and they were also able to create a personalised schedule by bookmarking their preferred sessions, which helped them plan their day efficiently. 

Delegate Connect's onsite support team provided technical support and helped attendees with any questions they had about how to use the event app.

When Joyn was initially contracted to facilitate the conference, the plan was to work closely with the venue's audiovisual team to live stream via Joyn's platform. 

However, as planning progressed, it became clear to both the client and Joyn that the latter were leading experts in delivering hybrid events. Therefore, it made the most sense for its team to go to the venue and manage in-room delivery and live streaming. 

The preparatory work included building the necessary white label. Not least, creating a customised online platform, briefing speakers and sponsors, providing live help-desk support for delegates and speakers and producing live streams that could be accessed on any device, from anywhere in the world.  

Joyn pivoted its delivery within a few weeks and took its team onsite to deliver an outstanding hybrid event.

Delegates who attended the event in person and online were given on-demand access to all the lecture recordings after the conference. They just have to log into their ASA 2021 Brisbane Hybrid Account, which they could on the ASA website. In addition, virtual delegates could participate in the live conference in real-time, including asking questions.

Delegate Connect's event services included pre-conference coordination for sponsors/exhibitors app profiles, speaker coordination, and content upload portal for speaker presentations. Delegate Connect also provide pre-conference consultation and coordination of production requirements, including liaising with the venue, to ensure a seamless event experience.

Key Considerations.


Delegate Connect was selected as the technology partner for RCPA’s Pathology Update 2023 and was engaged to deliver all of the Technical Elements of the event.

RCPA needed a partner that could take care of the management and coordination of all technical elements of the event and it was essential that the technology was seamless & intuitive and facilitated a fun and engaging experience for delegates and speakers alike from start to finish. 

The event had 141 speakers and it was essential to RCPA that their technical partner was able to facilitate and manage the end to end consultation and technical solutions for speakers, including collecting their presentations and content pre-event, having their presentations ready to go onsite as well as being able to accommodate for presentations which specific requirements (i.e. one speaker wanted to showcase an ultrasound/scan which required the ability to interact with this live on screen).

The conference was a great success and the feedback from RCPA and the delegates was exceptional. The successful implementation of DELEGATE CONNECT'S event technology solutions contributed to the overall success of the conference, ensuring that attendees had a seamless and engaging experience.

Delegate Connect's Conference app, ePoster kiosks and Technical Production services played a significant role in making the RCPA Pathology Update a successful event.  

The event app helped attendees stay informed and organised throughout the conference, and the ePoster kiosks were an innovative addition that enabled presenters to showcase their research in a digital format, enhancing engagement and interaction with attendees. 

The ability to gather feedback from delegates regarding presentations and speakers at the event has also provided key information to RCPA for planning for future Pathology Updates.
